unionlearn is committed to respecting our unions' privacy and adheres to the principles of the Data Protection Act 1998.
We have provided this privacy policy to help you understand how we collect, use and protect your information when you submit a ULF Bid Pro Forma application on our website.
For reference, a bid or bid pro forma can also be referred to as an application.
Use of data
We need to collect and assess your submitted bid before a decision can be made.
We may use the information in your application to:
- produce a contract once your bid has been approved
- assign a unionlearn project worker to provide information, advice and guidance
- monitor the financial outcomes of your project
- share information with our partners, which consist of unionlearn, the LSC and the DIUS
- contact you by letter, email or telephone
Disclosure of data
- Unions must first register on the site before a expression of interest form can be completed. Once registered, the system will then send an email to you, which you must respond to before access is granted. You will then be provided with a username and password to enable you to access the expression of interest form.
- Once you have submitted your bid it will be stored on our web database system. Access to the ULF online database system is password protected and only an authenticated username and password will be accepted.
- Once a bid has been approved, you will be able to login to the protected area, to view and download a read only version of your bid and contract.
- Your bid will be used to create a record on our online database system. This record will develop over the life of your approved bid and consist of: your original bid, amended bid if necessary, contract, financial outcomes, minutes and agendas and quarterly and final reports.
- unionlearn will input data throughout the duration of your approved bid to ensure the success of the project.
- unionlearn will add to your record any written or verbal information taken directly from you.
- unionlearn and its partners may use the information on your submitted bid to generate statistics.
- unionlearn will not disclose your details to any external entity other than those listed below: the LSC, unionlearn and the DIUS.

Internet security
Data held on the ULF web database system is encrypted and therefore unreadable.
When you login to your online bid application a cookie will be used to identify your computer for the period that you are logged on to the password-protected area. The cookie will be deleted when you log out of the area. A cookie allows us to identify your computer and nothing else.
Please be aware that no data held over the Internet can be guaranteed secure. We endeavour to ensure that the data held on our system is secure. However, we cannot accept responsibility for any unauthorised access or loss of information that is beyond our control.
